Helping Students in Distress

The best intervention often requires a team approach and the CCSD is committed to working with faculty and staff who have concerns about a student. If you are concerned about a student, but are unsure about how to approach him/her, please call us at 410-951-3939 for a consultation.

When to Refer

The following signs may indicate a need to refer a student to the CCSD:

  • Abrupt changes in behavior, including a dramatic decrease in academic functioning
  • Isolation from others
  • Noticeable changes in mood, such as depression, apathy, or irritability
  • Poor class attendance
  • Sudden outburst of anger
  • Alcohol and abuse
  • Marked changes in personal hygiene or appearance
  • Inappropriate crying
  • Bizarre statements or behavior
  • Suicidal statements

How to Refer

Raising the issue of counseling can be an uncomfortable task. When possible, offer your suggestion for counseling in a way that is honest, non-threatening and expresses support and concern.

If you are concerned about a student and would like to refer them to the CCSD:

  1. Talk to the student in private if you feel safe doing so
  2. Assist the student with scheduling an appointment by calling from your office with the student present
  3. If possible, walk the student to the CCSD
  4. If the student resists help and you are worried, contact the CCSD to discuss your concerns

Some additional suggestions include:
  • Be mindful of the student’s privacy
  • Listen carefully; show concern and interest
  • Avoid criticizing or sounding judgmental
  • Suggest the CCSD as a resource
  • Explain that counseling services at the CCSD are confidential

Urgent Referrals

If the situation is urgent enough to require immediate attention, call 410-951-3939 during regular office hours and let us know the situation is urgent. Students in crisis can be seen the same day to manage the crisis or be referred, as appropriate.

We consider a situation to be an emergency when there is:

  • mminent danger of physical harm to self and/or others
  • disabling emotional distress (e.g., insomnia, uncontrollable crying, agitation), and/or
  • gross impairment in thinking, behavior, etc.

After regular office hours, please contact Campus Police at 410-951-3900. If you feel there is immediate danger to the student, yourself, or someone else, call 911 immediately.

Confidentiality

Due to confidentiality laws, the Center for Counseling and Student Development cannot share any information about a student without a written release giving specific permission to do so. The Center's staff can answer general questions about making referrals, offer information about mental health concerns and problems in general, and take information from you about a student.

During the initial visit, students are given the opportunity to sign a Release of Information which allows the CCSD to verify that they are receiving help at the Center. Because the student has the right not to sign the release, it is always a good idea to follow up with them after the referral is made.

Institutional Undergraduate Class Attendance Policy (IUCAP)

The Institutional Undergraduate Class Attendance Policy (IUCAP) allows students to incur a specified number of unexcused absences equal to two times the number of lecture hours for a course. A student who has unexcused absences exceeding two times the number of lecture hours for a course has surpassed the number of allowable unexcused absences and is in violation of the policy. The student who has violated the policy may receive a grade of AW or FX based on unsatisfactory class attendance. The course instructor determines whether a student's absences are excused or unexcused. Prior to issuing a grade of AW or FX, the course instructor should refer the student to the Center for Counseling and Student Development (CCSD) for attendance counseling.


Attendance Counseling Referrals

The CCSD is dedicated to assisting students in overcoming obstacles that hinder class attendance, academic performance, and retention. To assist us with this mission, it is essential that you submit referrals for attendance issues prior to submitting the Grade Notification Form. Students can be referred to the CCSD for attendance issues via the Early Alert Module or the Attendance Referral Form . Upon receipt of the referral, the student will be contacted and counseled to discover the underlying cause(s) of the unexcused absences. The Attendance Coordinator will work with the student on intervention plans to prevent further attendance problems.

AW, FX and the Grade Notification Form

Administrative Withdrawal (AW) is a grade given when a student has exceeded the allowable number of unexcused absences and/or unsatisfactory class attendance. The AW is NON-REVERSIBLE.

FX is a grade given to a student who has exceeded the allowable number of unexcused absences and/or unsatisfactory class attendance after the AW deadlines. The FX grade is NON-REVERSIBLE.

To issue a grade of AW or FX, the Grade Notification Form must be completed and submitted to the CCSD prior to the published deadlines. All completed grade notification forms are verified, processed and forwarded to the Office of Records and Registration. The Office of Records and Registration only accepts original forms (hard copies) with original signatures. Copies, emails or faxes are not accepted.

Note: A referral is not the same as a grade notification. The grade notification is a document authorizing either an AW or FX for the student.

On-Line Course Attendance

Students are expected to participate weekly in instructional activities associated with a course. In an on-line course, a student who has had no contact with the course for more than two weeks has surpassed the number of allowable absences. Contact with the course is determined by the instructor and must be clearly described in the course syllabus. Contact may be measured by such mechanisms as e-mail, postings to discussion boards, and Blackboard.

Don’t Cancel That Class

The CCSD staff is available to assist you when you are unable to lecture. With two weeks advance notice, we can cover your class and present on a variety of topics relevant to college success. Presentations are typically 50 minutes and at least 1-2 weeks advance notice is required.
