Dear Resident:
Thank you for living in the Residence Hall at Coppin State this year. We know you that you could have chosen to make other arrangements to meet your housing needs, and we are glad you chose to live on campus in one of our Residence Halls.
As you make your plans for the next academic year, we hope you will consider returning to one of the Residence Halls again, either to your current room or to a different one. Current residents have a set time for which they are given priority status for room selection. Please note that this time is set for you, the returning resident. Attempting to reserve a room after this time could result in you not getting your desired room assignment or being placed on the waiting list, reducing your chances of getting a room on campus.
Please review this information very carefully. Once you familiarize yourself with the Room Reservation Process you'll find that reserving your room for next semester is very simple. The entire room reservation process will be conducted over a three day period. The first day is reserved for the Single Room Lottery (for Juniors and Seniors with a 3.0 or higher gpa). The second day will be for first year students who must move to other floors to select from a block of rooms. The Third day will be an open first come first served process where students can select any available room. If you are requesting relocation to another building, room, suite, or floor you will be given this opportunity on the third day to examine all remaining and available spaces. The process on the third day will be on a first come first served basis where you will be given the opportunity to select a room from those that are available. It is important to read the Terms and Conditions of the Housing Contract, which must be turned in at the time you reserve your room.
Please note that all bills should be paid in order to reserve a room. You will be required to confirm your intention to live on campus by the end of the first week in May by signing and returning the Room Assignment Confirmation Form along with a copy of your bill showing a balance that is below $500.00, a copy of your next semester registration showing 12 or more credits and a copy of your medical clearance form that you must collect from the Coppin State Health Center. This will hold your space for you temporarily. You will now have to meet all of the requirements set by the University as it relates to student account payments. If your Room Assignment Confirmation is not received by the May due date your reserved room assignment will automatically be cancelled. Once you have confirmed your room reservation, you will have until the last day of May to cancel it without penalty. For information on canceling after this date please refer to page two of your application, the Housing Contract or the Residence Hall Handbook for related cancellation penalties.
A Note on the Returning Student Waiting List: There are at least three ways a student can get on this waiting list, these include;
- All the spaces were taken before you were able to select a space, resulting in you being placed on the waiting list.
- You applied for a room after the reservation period had ended.
- Your assignment is cancelled due to you not submitting documents or submitting them after they were due.
Please note that once on the waiting list there is no guarantee that you will receive housing. Once you are on this list you will not be considered until After all new (first time) students are assigned, so you are encouraged to complete all parts of the room reservation process before the deadlines. Once we are full and all spaces are assigned, rooms only become available as a result of students with assignments canceling. If there are no cancellations there will be no rooms.
If your academic, housing or financial plans for next year are somewhat in doubt, we encourage you to come in and speak with someone in the Office of Residence Life to discuss possible arrangements. If your plans are uncertain, you can sign a contract now and still cancel it without penalty up until the May 30th . Cancellation charges/penalties will apply after that deadline, so don't miss it! Also remember that cancellations must be received in writing at the Office of Residence Life. No change in billing or refunds will be made unless a written request is received.
