Publication Procedure

Major University publications are given precedence. Projects are accepted according to priority status, current workload and at the discretion of the Director of Marketing. Consultation services are available and the client is responsible for all printing and graphic design costs associated with the project. The client is also responsible for contacting the vendor for quotes and beginning the purchase order process.

Proper planning can help any project. Marketing staff meet with clients early in the process to plan the creative strategy for the project.

Please consider these basics questions:

All of these technical questions will help determine the form of the publication and the types of services we can offer to make your publication a success. We also require that you submit a Publication Request Form (Login Required) before we begin consultation.

In the consultation meeting the marketing staff will review the publication procedure, printing contacts and costs; graphic design contacts and costs and the specs for the publication. We also ask that all text be supplied in an electronic format, and preferably be created in a word processing program. Text may be supplied on disk or via e-mail.

The marketing staff will work closely with clients and editors throughout the process to make sure the final piece meets the stated requirements. The designer cannot begin a project until the client has provided a purchase order number and has successfully completed a transfer of funds form for the design. The designer will send the initial proof to the client via email or interoffice mail.

Artwork will be sent to the printer when the following documents are received:

  1. Purchase order number/paperwork
  2. Transfer of funds for design costs
  3. Signed proof approval form
